Landlord Information
To maintain a professional property management service we understand that it is our duty to keep the Property Owner informed at all times, to assist in the decision making process.
STATEMENTS:
4one4 Real Estate provides for individual needs of Property Owners and has flexible accounting systems.
We are able to pay directly into a specified account.
After disbursement a statement is forwarded detailing all transactions, including payments made on your behalf. Attached to the statement will be any original invoices.
ADVERTISING:
A Vacant Property list is available to prospective tenants. The list features current and future vacant properties. This list provides photos of the property, a description of the property, availability, price and address.
TENANT CRITERIA:
Prospective tenants are required to complete a detailed application form. Details are checked using a nation-wide rental checking agency. The agency provides rental histories for prospective tenants.
All tenants are required to supply three references. We check references and verify suitability. Current employers are likewise contacted to establish a background to the applicant's character and reliability.
When the applicant's suitability has been established it is then that we contact our clients to make a recommendation and receive instructions. We remind you that the ultimate decision is yours and we respect same.
LEASES:
It is our recommendation that properties be offered as a twelve month lease. You should note that the Residential Tenancies Act does not provide for tenants to enter into a new lease at the expiration of the term agreed. The tenant however continues for each rental payment period bound by the covenants contained in the original lease, any exception is the rental, which can be reviewed. Our experience is that most tenants prefer to sign a new lease for "piece of mind". We offer all tenants the option of signing another Tenancy Agreement, subject to Property Owner's approval.
RENTAL PAYMENTS:
We endeavour to look after your interests in the tenant selection process. By adhering to a firm policy of not accepting a tenant who does not meet stringent suitability criteria, our policy has minimised any rental arrears.
Occasionally tenants do fall into arrears. Should this occur a set procedure is instigated which includes the following:-
- 2-7 Days overdue: An overdue notice is forwarded (reminding the tenant of their obligations) and a reminder phone call is made.
- 8-14 Days overdue: Formal notification is forwarded (advising that if the arrears are not paid by the 14 day of arrears, a Notice to Vacate will be issued) a second reminder phone call is made.
- 15 Days overdue: Notice to Vacate is issued. If payment not received and rent in line with the Residential Tenancy Agreement by the end of period notice, an application is made to the Residential Tenancies Tribunal seeking a hearing to obtain an Eviction Order. A third phone call is made explaining the process of vacating the premises.
TRIBUNAL
Should the need arise for an application to be made to the Residential Tenancies Tribunal on your behalf, a charge of $100.00 would apply to cover our attendance at the court and the application fee.
ROUTINE INSPECTIONS:
At 4one4 Real Estate, we conduct Internal and External Inspections as follows:-
- External Inspections: Quarterly
- Internal Inspections: Two months after commencement of Tenancy, then quarterly if required by the Property Owner or on a 5 monthly period.
We view inspections as a preventative measure to limit any future problems, Property Owners receive a letter from the Property Manager after each Internal Inspection detailing any maintenance required to keep the property in good condition.
All inspections comply with the Residential Tenancies Act (1997) which stipulates that a Property Owner/agent may only enter the premises for an internal inspection once every three month period.
REPAIRS & MAINTENANCE:
We at 4one4 Real Estate believe that professional repairs and maintenance is most necessary for good property management. Requests from tenants for maintenance are recorded, and the landlord contacted for receipt of instructions. Whilst we engage a range of tradespersons to attend, we are happy to use specific tradespersons as requested.
